Sponsor agreement system – how to manage your agreements
A sponsor agreement isn’t finished once it is signed. It has to become deliverables, invoices and a renegotiation – and you need to be able to find it again. Here is how to keep track of it.
Sound familiar?
- The agreement only exists as an email saying “we’re agreed”
- Nobody knows whether the agreement runs for one year or two
- The invoice doesn’t match what was agreed
- The signed PDF is with the person who left
Five steps to agreements you can manage
-
Get the agreement in writing
Parties, term, what the club delivers, price, payment plan and termination. Anything less is not an agreement.
-
Turn what you promise into deliverables
A board at the home ground becomes a task before the first game. Four tickets per game become tickets that are set aside.
-
Invoice from the agreement
Once, in installments or on a recurring basis – but always based on the agreement, so the amounts match.
-
Keep an eye on expirations
Six months ahead, there is time to prepare something new. One month ahead, there isn’t.
-
Keep the agreement in one place
The signed agreement is stored on the sponsor, where the next sponsorship manager can find it.
How Sportmanager helps
The agreement is built from the club’s products and sent for digital signature. Once it is approved, Sportmanager creates the invoices, sets up the deliverables and sets aside the tickets – and six months before it expires, it comes up for renegotiation.
- Agreements with term, products, discount, barter and bonus
- Invoices in one go, in installments or as a subscription
- Deliverables scheduled on the games
- Sealed PDF with signature stored on the sponsor
Questions
What should a sponsor agreement contain?
At a minimum the parties, the term, what the club delivers, the sponsor’s payment and payment plan, termination and what happens in case of breach. Barter and conditional bonuses are written in if there are any.
Can agreements be sent for digital signature?
Yes. The sponsor gets a link by email and signs on their phone without logging in. Signed agreements are approved automatically.
How does invoicing tie in with the agreement?
Invoices are created from the agreement and sent to e-conomic or Uniconta. The invoicing check shows if an agreement still needs to be invoiced – or has been invoiced without an agreement.
