How do you keep track of sponsors?

Spreadsheets and emails hold up until the club has 20–30 sponsors or changes sponsorship manager. Here is what needs to be in place before that happens.

Sound familiar?

  • The sponsor list exists in three versions – and none of them is the right one
  • The history lives in the head of whoever made the deal
  • The contact person has changed jobs, and nobody noticed
  • Nobody knows if the sign ever went up

Five things to put in place

  1. One list – not five

Company, contact person, agreement, term and value in one place that everyone at the club uses.

  2. Write down the history

What was agreed, when and by whom. Then the next person can take over without starting from scratch.

  3. Set a date for the next contact

Every sponsor has a follow-up date – even the ones who just need a cup of coffee.

  4. Make the list shared

The chair, the treasurer and the sponsorship manager see the same thing. Then the club doesn’t depend on one person.

  5. Keep track of what has been delivered

Boards, tickets, posts – with a date and ideally a photo. That is what you’ll need at renegotiation.

How Sportmanager helps

Each sponsor has one page with contacts, agreements, invoices, tickets, deliverables and everything you have sent to and heard from them. Everyone at the club sees the same thing, and roles control who can make changes.

  • Companies and contacts imported from Excel and CVR
  • Agreements with term, products and value
  • Follow-up date and history per sponsor
  • Deliverables documented with photos

Questions

Can we import our spreadsheet?

Yes. Companies and contacts are imported from Excel, and company data is filled in from the Danish company register (CVR).

Who should have access?

The people who work with sponsors – typically the sponsorship manager, the treasurer and the chair. Roles decide who sees and edits what.

What about sponsors who pay in goods?

Barter is recorded on the agreement with a value, so you can follow whether it is delivered and count it in your sponsorship income.
